Complaints & Discipline Policy - Brent Panthers Basketball Club

Introduction

Brent Panthers Basketball Club is dedicated to maintaining a positive, respectful, and supportive environment for all members, including players, coaches, staff, volunteers, and supporters. We recognise the importance of addressing complaints and disciplinary issues promptly and fairly. This policy outlines the procedures for handling complaints and enforcing disciplinary actions within the club.

Scope

This policy applies to all members of Brent Panthers Basketball Club, including players, coaches, staff, volunteers, and supporters. It covers all club activities, both on and off the court.

Complaints Procedure

1.1 Reporting Complaints: Any member who has a complaint regarding the behaviour, conduct, or actions of another member should report the issue to the Club Welfare Officer or a member of the Club Committee as soon as possible. Complaints can be made verbally or in writing.

1.2 Acknowledgement: The club will acknowledge receipt of the complaint within five working days and inform the complainant of the process that will be followed.

1.3 Investigation: The Club Committee will conduct a thorough investigation of the complaint. This may involve interviewing the complainant, the subject of the complaint, and any witnesses. All investigations will be conducted confidentially and impartially.

1.4 Resolution: Upon completion of the investigation, the Club Committee will determine the appropriate action to be taken. This may include mediation, providing guidance or training, or implementing disciplinary measures if necessary. The complainant and the subject of the complaint will be informed of the outcome.

Disciplinary Procedures

2.1 Grounds for Disciplinary Action: Members may face disciplinary action for behaviour that is deemed to be inappropriate, disruptive, or in violation of the club's policies and codes of conduct. This includes, but is not limited to, discrimination, harassment, bullying, violence, and breaches of health and safety regulations.

2.2 Disciplinary Actions: The Club Committee may impose various disciplinary actions depending on the severity of the misconduct. These actions may include:

  • Verbal or written warnings
  • Suspension from club activities
  • Expulsion from the club
  • Other actions deemed appropriate by the Club Committee

2.3 Appeals: Members who are subject to disciplinary action have the right to appeal the decision. Appeals must be submitted in writing to the Club Chair within ten working days of the disciplinary decision. The appeal will be reviewed by an independent panel, and their decision will be final.

Responsibilities

3.1 Club Committee: The Club Committee is responsible for overseeing the complaints and disciplinary procedures, ensuring they are conducted fairly and consistently.

3.2 Club Welfare Officer: The Club Welfare Officer is responsible for receiving complaints, providing support to the complainant, and ensuring that complaints are handled in accordance with this policy.

3.3 Members: All members are expected to comply with the club's policies and codes of conduct, to treat others with respect, and to report any concerns or complaints promptly.

Monitoring and Review

This policy will be regularly reviewed and updated to ensure its effectiveness and alignment with best practices and legal requirements.

We use basketball as powerful teaching tool to help develop character and skills that will help our players in other areas of their lives, while facilitating regular training, feeding the passion to play, improve and compete within a successful team environment.
